Administrative Assistant - Community Kitchen

Few positions have the opportunity to truly make a difference within our community.  Our Program Administration Assistant position with St. Mary?s Food Bank Alliance does make a difference.  Located in Phoenix, Arizona and founded in 1967, St. Mary?s is known as the world?s first food bank.  Our mission is to alleviate hunger in our state by gathering and distributing food to those in need while encouraging self-sufficiency. 

Our Program Administration Assistant provides support to students participating in the Community Kitchen culinary training program as well as administrative support for the day-to-day operations of the program.

Responsibilities of the Program Administration Assistant include, but are not limited to:

-Entering data and maintaining database regarding new students and their progress through the culinary training program.

-Scheduling and conducting tours of the Community Kitchen to business partners, prospective students, agency partners and donors.

-Conducting information sessions as needed to agency partners at the Community Kitchen or at their facility.

-Maintaining demographic and enrollment reports for internal development team and as a reference to agency partners.

-Creating and maintaining class lists to include student pictures and program information.

-Managing daily attendance logs and tracking student attendance.

-Creating new business tools to improve program operations.

-Updating student handbook on a regular basis.

-Planning, scheduling, and coordinating all aspects of quarterly graduation ceremonies as well as Alumni events.

-Managing petty cash as well as tracking/auditing the gift card supply.

-Overseeing scheduling calendar for functions in the Community Room, and partnering with CK Catering and facilities to coordinate room set up.

-Ensuring Resource Closet is organized and stocked.

-Ordering and maintaining supplies and marketing materials for copy room and resource room.

-Compiling required data and completing application process for post-secondary education license annually.

-Ensuring student bus passes, uniforms and drug tests are ordered, distributed and logged.

-Developing and distributing the CK Student Newsletter.

-Assisting with teaching of classes for life skills.

-Safety sensitive position.

Qualifications sought:

- Associates degree or equivalent combination of school and experience. Bachelors? degree in social work, public health, social/behavioral sciences, etc. preferred.

- Minimum of 5 years? work related experience.

- Demonstrated presentation skills.

- Previous experience working with a diverse population.

- Advanced knowledge of Microsoft Office products to include Word, Excel, PowerPoint and Outlook.

- Experience with a variety of database programs preferred.

- Excellent written and verbal communication skills.

- Demonstrated customer service skills.

-Valid Arizona driver?s license is required.

- Bi-lingual (Spanish) helpful.

- Strong organizational and time management skills.

- General knowledge of commercial kitchen operations or food service helpful.
